Fact Sheet 32: Shop - How Customers Buy Your Goods

The Shop function within the MySouthWest website allows merchants the ability to sell goods online with the minimum of risk and the maximum amount of flexibility. The overall concept allows a merchant to have up to 20 separate products available within their online shopping trolley. Processing of online payments can be carried out by the merchant directly or can be delegated to Connect South West (MySouthWest).

This manual is designed using a fictitious drama group who wish to sell tickets and some souvenir items online.

The initial view of the shop allows potential customers to see the category listings of all available products:

From here they choose to view the arts and crafts category:

Having selected the store that interests them they can then view the products available:

 

A brief summary of products is given against their photos and for more information the customer clicks on the link (or the image). In this example they choose to view the lapel pin:

 

Here the customer will see the full description of the item and a link to add it to their shopping trolley. Once the customer has decided to add the item to their trolley they are presented with the following screen:

 

Having selected the number of products they wish to purchase they can then proceed to the checkout process.

If they are a returning customer they can login using a previously registered username and password, otherwise they register their details as follows:

On selecting 'Secure Register' they are taken to step 2 where they enter their shipping address:

 

Once shipping details are completed, their freight cost can be calculated and added to the amount of the goods. From there they enter their payment details and confirm the order:

At this stage a number of emails will be generated depending on circumstances.

Firstly the customer gets an email confirming their order.

The next steps change depending upon who is processing the payment of the order.

If MySouthWest has been selected to process payment, then

An email is received by MySouthWest confirming the order.

MySouthWest will then process the payment. Once processed, they will change the order status to "Paid For" and an email is generated to the merchant to advise them of an order that has been made and paid for.

It is then the responsibility of the merchant to process the order and ship out the goods.

If the merchant is handling payment, then

The merchant receives the initial email that an order has been placed by a customer. It is then the responsibility of the merchant to process the payment and ship out the goods.

Once the merchant receives the email that an order has been placed the merchant goes to their orders page in the MySouthWest Administration. By clicking on the appropriate order they can change the status to shipped:

(Please note the names of actual customers have been removed in the above example to maintain confidentiality).

At this point a final email is sent to the customer saying that the product has been shipped.

All of these notification emails are generated automatically as the order moves through the status of being ordered (pending), "paid for" and shipped.

This provides maximum transparency with minimum user input.

Viewing your orders:

By clicking on the main Shop tab of your MySouthWest Administration console you will see a list of all outstanding orders. You can also click to view all of your old orders.

Customer Contact:

There are a number of screens within the MySouthWest system that will allow a customer to email a merchant directly. All email addresses are kept confidential and customers will only see an online form as follows:
